Thank you for considering to renew as a Responder for Sussex 4×4 Response.
We are trying to make renewing as simple as possible, but to avoid ending up with a large pool of responders who we can’t contact throughout the year, or for whom the details may not have been updated since they initially joined we need to add some steps to ensure our systems are up to date with all the right information so we’ve got a few steps as part of the renewal that will ensure everything is ready to go and you are set up in all the right places.
It’s also a good time for us to capture any new information that we might have found useful during the previous year so please don’t think these steps are there purely to be awkward. It’s just a bit of housekeeping and good practice to bring everything to an even level for all members at the start of our year.
As part of renewal you are required to:
- Make payment (through this shop listing)
- Radio Check (Call into channel 9 and leave a message with name, Callsign, Date, Time)
- Send your driving license check code from your group Google email account to membership
- Agree to the current terms (Purchase of this renewal confirms this)
- Ensure max vehicle tow weight & next of kin are completed in ARM
- Login to Slack, and leave your Callsign and name in the #renewal2026 channel (contact itteam@sx4x4response.uk if you have a problem doing this.)
- Understand that the group may put responders through DBS checks going forwards and that renewal is agreement to have a DBS processed during this coming year, further details to follow

Sussex 4×4 Response Terms of Membership
- POLICY DOCUMENTS. I agree that I will read any policy documents found in the welcome pack and/or posted on the Sussex 4×4 Response Forum before actively participating in any Sussex 4×4 Response activities, and I agree that I will check the Sussex 4×4 Response Forum regularly for updates to these policies.
- DBS / CHILD & VULNERABLE ADULT PROTECTION. I declare that I am not barred from working with children or vulnerable adults. I grant Sussex 4×4 Response permission to submit my details for a basic DBS check as standard procedure. I understand and agree that anything that is revealed as a result of these checks will not necessarily prevent me from being an active member of Sussex 4×4 Response, but that it is a possibility, as is the possibility of the termination of my membership.
- POLICE VETTING. I understand and agree that should I wish to work with the Police in certain sensitive and/or restricted circumstances, I may first be required to undergo basic vetting by the Police (known as NPPV – Non-Police Personnel Vetting). I understand and agree that anything that is revealed as a result of these checks will not necessarily prevent me from being an active member of Sussex 4×4 Response, but that it is a possibility, as is the possibility of the termination of my membership. I understand and agree that decisions regarding NPPV will be made with the advice of the User Services (e.g. Police) and that I may have the right to appeal.
- PERSONAL HEALTH / FITNESS. I declare that I do not suffer any form of alcohol or drug dependency, and that I am not currently prescribed any medication that may affect my driving ability. I understand and agree that should this change in the future I must inform the Trustees / Management Team immediately, and that failure to disclose the requested information, or failure to disclose any changes in my circumstances, may result in termination of membership
- UNSPENT CONVICTIONS. I understand and agree that I need to declare any unspent driving or violence-related convictions, and that I must declare any new driving or violence-related convictions as soon as is practical. I understand that having previous convictions will not automatically restrict my ability to be an “Operational Responder”, however failure to disclose the requested information may result in termination of membership.
- TRAINING. I understand and agree that at the time of my joining Sussex 4×4 Response I need to undertake a one-off driver assessment before commencing the required training to become a “Fully Operational Responder”. I understand and agree that there are certain minimum training requirements and courses that must be undertaken (and must be repeated periodically in order to remain current), and possibly some agreed-upon further training that is deemed necessary, before I can become/remain an “Operational Responder”.
- DOCUMENTATION AND VEHICLE. I agree to provide originals of my driving licence, motor insurance and MOT (if applicable) for inspection by a nominated member of Sussex 4×4 Response every year that I renew my membership (or a driving licence check code from the Government website if deemed appropriate). I understand and agree that it is my responsibility to keep my vehicle taxed, insured for volunteer activities, with a valid MOT, and in a roadworthy condition when participating in any Sussex 4×4 Response activity. I allow Sussex 4×4 Response to check the status of my vehicle’s tax, MOT and insurance with the DVLA.
- PERSONAL DATA ACCURACY. I understand and agree that it is my responsibility to keep my personal details accurate on the ARM database. This includes (but is not limited to) my vehicle details and capabilities, my address and contact details, my next-of-kin emergency contact details, and so on.
- RIGHT TO VOLUNTEER. I agree to provide my passport for inspection and copying by a Sussex 4×4 Response-nominated person upon joining. (Note: this is a one-off, not an annual check). If you do not have a current passport, then certain other documents are acceptable in lieu. Please ask for more information if this is the case.
- SPECIFICS OF INSURANCE COVER. I understand and agree that it is my responsibility to ensure that my vehicle is covered for accidental damage at all times including (but not limited to) whilst driving ‘off road’, whilst towing, or when driving in water. I understand and agree that if I do not have such insurance then I accept personal responsibility for any such damage. I understand and agree that Sussex 4×4 Response and its User Services will accept no financial responsibility for any loss or damage to my vehicle while carrying out any Sussex 4×4 Response activity. I understand that I am under no obligation to carry out any activities assigned to me by Sussex 4×4 Response.
- DATA PROTECTION. I understand and agree that the information supplied on this form may be held both manually and electronically for the use of the Trustees and other officers of Sussex 4×4 Response according to current GDPR regulations. This information will not be passed to other bodies or individuals without my express permission. I understand that I may rescind this authority at any time.
- ELECTRONIC COMMUNICATIONS. I understand and agree that communications will be sent to me electronically using the Sussex 4×4 Response-issued email address and Google account that I have been provided with. I agree to make sure that I remain able to access my Sussex 4×4 Response email address and Google account, and to report any access issues to the IT Team immediately so that they can be resolved.
- FEES. I understand that I need to submit my application form and pay my membership fee in order to join Sussex 4×4 Response, and I understand that I need to pay my annual membership renewal promptly if/when I wish to renew my membership for each subsequent year, otherwise this will result in termination of membership.
- PHOTO. I agree to electronically submit a suitable photo for my Sussex 4×4 Response ID card (a photocopy of a passport photo is not suitable), and I agree to re-submit future updated photos as and when requested for new ID cards.
- CONFLICTS OF INTERESTS. I agree to inform the Trustees / Management Team immediately of any potential conflicts of interest that may exist. These may include (but not be limited to) membership or applying for membership of any organisations which may be seen to have objectives directly in competition with, or directly overlapping with, those of Sussex 4×4 Response (or another national 4×4 Response UK Sussex 4×4 Response within the same/overlapping geographical area). I understand and agree that my membership may be terminated if any such conflicts are not promptly disclosed and/or are found to exist (or are perceived to exist) by the Trustees / Management Team.
- NON-PARTICIPATION. I acknowledge that as a member of a self-funded charity there will be certain events throughout the year which require the participation of members. These may include fundraising activities, promotional awareness activities and so on. I agree to make a reasonable effort to attend a certain number of these over the course of the membership year, and I understand that my repeated failure to do so may result in my Sussex 4×4 Response membership being reconsidered.
- ANNUAL RENEWAL. I understand and agree that there are certain annual tasks that must be performed yearly at my annual membership renewal in order for me to remain an “Operational Responder”, including (but not limited to) Driving Licence checks, radio checks, kit checks, Slack / Google account login checks, Forum login checks, and so on.
By paying my membership fee I declare that I have read and understand all of the above points, and I understand and agree that my failure to comply with the above points may result in either my being removed from the “Operational Responder” list (and therefore no longer being eligible to undertake any taskings for the Sussex 4×4 Response) until the situation is resolved, or the termination of my membership of Sussex 4×4 Response.
